A school runs on records: who is enrolled, who attended, who paid, who passed. When those records live in registers and separate spreadsheets, the office spends its day finding and copying information instead of using it.
A school management system, often called an LMS, brings those records into one place. Not every system does it well. Use this checklist before you choose one.
1. Separate logins for each role
Administrators, teachers and students need different things. An administrator manages classes and fees, a teacher marks attendance and enters results, a student sees their own timetable and marks. Each role should have its own login and should see only what it needs.
2. Attendance that takes seconds
If marking attendance is slower than using a register, teachers will stop using it. Look for a class list with one tap per student, and a daily summary the office can read at a glance.
3. Results and report cards
Teachers should enter marks once. The system should then calculate totals and grades and produce a report card you can print or share, without anyone re-typing the numbers.
4. Fee records
You should be able to see, at any moment, who has paid, who is due and how much is outstanding for a class or for the whole school. Receipts should be generated by the system.
5. Classes, subjects and timetables
Setting up a new academic year should not mean starting again. Check that classes, sections, subjects and teacher assignments are easy to create and to change.
6. Reports you will actually use
Ask to see the reports before you buy. Useful ones include attendance by class, fee collection by month and results by subject. A report you cannot export or print is of little use.
7. Works on a phone
Many teachers and parents will open the system on a mobile phone. Every screen should be usable on a small display, without zooming.
8. Your data stays yours
Find out where the data is stored, who can access it and whether you can export everything if you ever change systems. Regular backups are essential.
Try before you decide
The safest way to judge a system is to use it. Our School LMS is a live demo with separate administrator, teacher and student logins, so you can try each role yourself.
Every school works a little differently, which is why we build these systems around the school rather than the other way round. See our management systems service, or ask for a demo walkthrough.
